Bilingual Administrative Assistant (FR/EN)
 
This role, reporting to the Admin Services Manager, plays a pivotal role in ensuring the smooth operation of the C-Suite office and serving as a trusted strategic partner. This role provides high-level administrative support in a fast-paced, multitasking environment, enabling the CSE to focus on strategic priorities. 
The role involves handling complex concurrent tasks, making strategic decisions, and working with confidential and time-sensitive material. By enabling the CSE to focus on strategic priorities, the Bilingual Administrative Assistant for C-Suite Executive becomes part of a group of problem solvers addressing complex business issues.
 
You’ll work as part of a team of problem solvers, helping to solve business issues, deliver high quality client service and operational efficiency.

Responsibilities:
 
  • Strategic and proactive management of complex calendars and high-volume email communications
  • Planning and coordination of meetings, events, and conferences, including on-site support when required
  • Coordination of complex domestic and international travel arrangements, including visa processing
  • Collaboration with executives, teams, and departments to ensure C-Suite deliverables are met.
  • Processing high-volume, complex expense reports and vendor invoice coding
  • Managing Salesforce deliverables including contact updates, activities, sponsorships, and campaigns
  • Conducting research and supporting document management
  • Creating and preparing presentations, reports, and internal/external communications
  • Reviewing and facilitating correspondence for accuracy, tone, and professionalism
  • Providing timesheet support and general administrative assistance
  • Maintaining awareness of business operations and market relationships relevant to the firm and C-Suite Executive
  • Supporting the adoption of new firm technologies, policies, and procedures
  • Prioritizing ongoing development of digital, technical, and professional skills
  • Assisting with firm initiatives, business projects, and ad hoc administrative tasks
  • Contributing to a team-centric environment, including acting as a backup and participating in team activities
  • Supporting social media strategy in collaboration with executive communications
  • Staying current with emerging technologies to help drive adoption across the firm
  • Sharing knowledge and providing guidance on leadership initiatives and firm strategy with admin colleagues
  • Building strong relationships with internal and external stakeholders, including the CSE, leadership teams, and client networks
  • Partnering with the Chief of Staff to ensure efficient day-to-day operations of the C-Suite office
  • Seeking feedback and engaging in self-reflection to strengthen business acumen and personal growth
 Experience:

  • Proven experience supporting senior executives, including complex calendar and priority management
  • Strong client service focus with a commitment to professionalism, discretion, and tact
  • Excellent judgment and problem-solving skills, with a proactive and flexible approach to working across all levels
  • Exceptional organizational and multitasking abilities to manage competing priorities effectively
  • Advanced written and verbal communication skills, including listening, editing, and proofreading
  • Ability to work independently and collaboratively, fostering a positive team environment
  • Proficiency in Microsoft 365 and firmwide applications; confident navigating technical platforms
  • Familiarity with collaboration tools such as Webex and social media platforms
  • Comfortable working in a fast-paced, evolving digital environment; promotes adoption of new technologies
  • Strong relationship-building skills with internal and external stakeholders
  • Passion for teaming and continuous professional development, with a leadership mindset
  • Ability to support and contribute to firm-wide initiatives and strategic priorities
  • Fluency in French and full business proficiency in English is required
